PTO Meeting Notes - 10/30/24

The meeting started at 9:34 am and adjourned at 10:24 am.

Executive Board attendees included Luckie Brown, Stephanie Merrifield, and Christi Akinwumi.

Dr. Roan discussed feedback from parents, particularly concerns around supporting elementary students as they transition to middle and high school. She highlighted the importance of social and emotional support during these transitions and shared her confidence in Prosper ISD’s preparations. Dr. Roan emphasized the role of community engagement, encouraging both parents and students to actively participate in the school community beyond just attending. She also reminded everyone about the upcoming Fall Mixer in early November, with separate sessions for 6th graders and for 7th/8th graders. She announced a new virtual directory launching on November 4th, which will allow parents to view their student’s teachers and other relevant details via a Google-based platform. Teachers are also focusing on data-driven instruction, analyzing MAP and STAAR testing results. Over the next 7 weeks, advisory sessions will concentrate on math and literacy to help improve outcomes in these areas.

Stephanie Merrifield introduced the Gratitude Project, a thank-you note initiative for teachers, which will run until November 22 with Hope Squad helping to facilitate. She also spoke about the benefits of joining the PTO as part of the ongoing membership drive.

Crystal provided a financial update, stating current assets at $10,734.20, with an additional $15 from a teacher’s PTO contribution. She reviewed the budget, which was approved on September 21, noting areas for growth in spirit wear and membership. She shared that the goal of securing six business sponsors has been met.

Luckie addressed the budget, which is currently limited by the number of PTO members. She noted that increased support could allow for additional events like guest speakers and extra enrichment. All available funds are currently allocated to support planned activities.

Ashley updated the group on snack donations, which are stocked through the end of the year. On November 20, there will be a dessert buffet and coffee bar for staff, along with thank-you notes. PTO will also sponsor a luncheon for staff at their final meeting of the year.

Lynn reported that Sugar Shack will now operate every other week due to high digital transaction fees, and it will be cash-only. She provided an update on Spirit Nights, noting that Buff City, Torchy’s, Menchie’s, and Chick-fil-A have already participated. Raising Cane’s is scheduled for November 12, with another event at Torchy’s in December. Additional sponsors are being sought for events in 2025.

Denise, committee chair for the Winter Dance, shared that the event will have separate times for 6th graders (6–7:30 pm) and 7th/8th graders afterward. Tickets will be available for purchase with cash from December 2–6, online, and at the door, with cash-only sales at the venue. Wristbands will be distributed with ticket purchases. An Amazon wishlist for decor donations will be shared to help reduce PTO costs. Volunteers are needed to check tickets at the event.

Kemi discussed PTO’s birthday treat program and the Star Polisher award, which includes a $100 gift card through the Prosper Education Foundation.

Jennifer Wootan provided an update on the new Birthday Grams program, which Hope Squad is helping to distribute. Parents can add messages to the marquee for birthdays that fall on weekends, with recognitions posted on the prior Friday. Spirit wear will be available for purchase at upcoming mixers, and Jennifer noted that the PTO has met its goal of six sponsors, who will also be present at the mixers.

Student treats were distributed on October 30, 2024. Stephanie Merrifield encouraged members to get involved with the PTO, reminding everyone that membership doesn’t require volunteering and is open to all.
